Cancelling MYOB? Do these things first.

Cancelling an invoicing app is easy. Cancelling it without losing five years of tax records takes ten minutes of prep. Here’s the order of operations. It applies to Solo by MYOB, MYOB Business and AccountRight, and to any other invoicing app you ever leave.

Before you cancel

The export checklist

  1. Export every invoice

    PDF copies (or CSV) of all invoices, all years. The ATO, the Australian Taxation Office, requires five years of records, and that obligation survives your subscription.

  2. Export contacts & items

    Client list and any saved items/rates. Retyping these is the hidden cost of switching.

  3. Save your BAS-relevant reports

    Income and GST summaries for any period you’ve lodged from. A BAS is the Business Activity Statement you lodge to report GST, the 10% goods and services tax. Your accountant will thank you at tax time.

  4. Check where you subscribed

    App Store and Google Play subscriptions cancel in the store, not inside the app. Web subscriptions cancel in your MYOB account settings.

  5. Note your renewal date

    Cancel before it, keep access until it. Screenshots of your plan and price are worth keeping too.

  6. Open the files you exported

    Before you cancel anything, open two or three of the PDFs and the CSV. An export you never opened is not a backup.

Keep the lot in one dated folder, on a drive that is not the laptop, plus a copy in cloud storage you control. Folder per financial year, PDFs named by invoice number, is enough for a sole trader.

Cancelling depends on which MYOB product you are on

MYOB is a family of products, not one subscription. Solo by MYOB, MYOB Business and AccountRight are billed separately and are cancelled separately, and the steps have moved around over the years. So do not follow a five-year-old forum post. Open MYOB’s own support page for the product you are actually on, then work through it.

Three things trip people up regardless of product:

  • The billing channel decides the cancel route. If Apple or Google took the money, only they can stop it. If MYOB billed you directly, it is your MYOB account or MYOB support.
  • Deleting the app cancels nothing. The subscription keeps billing on an empty phone.
  • Multiple files, multiple subscriptions. If you have ever run more than one company file, check that each one is cancelled, not just the one you use.

If you have employees and have been reporting payroll through MYOB, sort out your payroll reporting for the year before you lose access, and check with your accountant or the ATO’s current guidance if you are unsure what is outstanding.

Five questions to ask before you confirm

Notice periods, refunds and data retention are set by the vendor and they change. Rather than trust a number you read on a blog, ask MYOB directly, in the chat or on the phone, and save the answer. These are the five that matter:

  1. What is my exact last billing date?

    Write it down. It is the deadline for everything else on this page.

  2. How much notice do you need?

    Ask whether cancelling today stops the next charge, or whether one more period is already locked in.

  3. Is any of the current period refunded?

    Usually not. Expect to keep access to the end of what you have paid for instead.

  4. Do I keep any read-only access afterwards?

    If yes, ask for how long, and still export now. A read-only window is a courtesy, not a record-keeping system.

  5. How long is my data kept, and can I resubscribe to the same file?

    This decides whether a change of mind in a few months means picking up where you left off or starting again.

How do I cancel my MYOB subscription?

Start in your MYOB account (My Account, then the product you want to cancel). The exact route differs by product, because Solo, MYOB Business and AccountRight are separate subscriptions, and MYOB has changed the steps over time. Open MYOB's own support page for your product first, and if the cancel option is not there, phone MYOB support and ask them to cancel it. Either way, get the cancellation confirmed in writing and keep the email.

How much notice does MYOB need before I cancel?

MYOB sets a notice period in its subscription terms, and it is not the same for every product. Check the terms for your plan in My Account before you start, and ask MYOB to confirm the exact date your subscription ends. The safe habit is to cancel a couple of weeks before your renewal date rather than the day before it.

Will I get a refund for the rest of the month?

Do not count on it. Subscription software is commonly billed to the end of the period you have already paid for, with no pro-rata refund, so you usually keep access until that date instead of getting money back. Ask MYOB what happens to the current period and get the answer in writing before you confirm.

What happens to my invoices when I cancel?

Access to your data after cancellation depends on MYOB's current policy for your product, so do not assume you can log back in later to pull an old invoice. Export everything before you cancel. The ATO, the Australian Taxation Office, requires you to keep business records for five years, and that obligation is yours, not your software vendor's.

What should I export before cancelling?

At minimum: every invoice as PDF or CSV, your contact list, your saved items and rates, payment records, and any report you have lodged a BAS from. Do it while the subscription is still active, because export features can be limited or gone once it lapses. Open a few of the exported files and check they are readable before you cancel anything.

I subscribed through the App Store. Where do I cancel?

In the store, not in the app. A subscription bought through the App Store or Google Play is billed by Apple or Google, so it has to be cancelled in your store subscription settings. Deleting the app does not stop the billing. If you are not sure where you subscribed, check which company appears on the receipt in your email.
