Air Conditioning invoice example: what a correct one looks like

The example below is a back-to-back split system install: a 7.1 kW reverse cycle unit supplied, standard installation with the first three metres of pipe, an extra two metres of pipe run, a wall bracket for the outdoor unit, and a dedicated circuit by a licensed electrician on-charged.

The model and serial numbers are in the note. Manufacturers ask for them, and so does the customer the day the unit stops cooling in January.

Trade-specific rules

GST notes for air conditioning techs

Air conditioning and refrigeration services: split system supply and install, servicing and repairs, with the unit itself usually the biggest line and the electrical connection often done by a licensed electrician.

  • The unit is usually the biggest line. It carries GST at the price you charge, and you claim back the GST your wholesaler charged you.
  • If a licensed electrician did the electrical connection and you are on-charging it, show it as its own line. Their invoice to you is your cost; your charge to the customer is the taxable line.
  • Supply and install jobs nearly always pass $1,000, so the customer's name or ABN must be on the tax invoice.

FAQ

Why record the serial numbers?

Manufacturers ask for them for warranty registration, and the customer will need them for any claim. Putting them on the invoice means both of you have them in one place.

Should my refrigerant licence number be on the invoice?

It is not an ATO requirement, but many customers and builders like to see it, and it is an easy way to show the work was done by a licensed technician.

How do I invoice a multi-unit or ducted job?

One line per unit or zone with its make and model, the installation as its own line, and any ducting, controllers or zone motors as separate lines. Big jobs often take a deposit; show it as received on the final invoice.
