Landscaping invoices are materials-heavy: turf per roll or m², soil and mulch per cubic metre, plants per item, sleepers per length. The template below is built for quantity × unit-rate lines, because that's how landscaping quotes are won and how the final invoice avoids arguments when the area measured bigger than the guess.

It's ATO-correct ("Tax Invoice", ABN, GST per line) with a note field for the things landscapers actually need to say: access conditions, green-waste disposal, and what happens to surplus materials.

GST notes for landscapers

Landscaping Services: supply-heavy work where materials (turf, soil, plants, sleepers) often outweigh labour on the invoice, and green-waste disposal is its own real cost.

  • Materials you supply (turf, soil, plants) carry GST at your charged price. Keep nursery and landscape-yard receipts for your own BAS credits.
  • Tip and green-waste fees you pay are costs; what you charge the customer for disposal is a taxable line like any other.
  • Measured quantities beat lump sums: 'per m² × actual area' on the invoice matches the quote structure and kills the 'but you quoted less' conversation.

Word, Excel or Google Docs

Using this landscaper invoice template in other formats

Microsoft Word

Recreate the PDF’s structure with a 5-column table (description, qty, unit price, GST, amount). Keep the words “Tax Invoice” as the document title, your ABN under your business name, and add a totals block of subtotal / GST / total. Word’s tables won’t calculate GST for you, so double-check every amount: a wrong GST figure is the most common Word-template mistake we saw in real landscaper invoices.

Excel / spreadsheets

Excel handles the maths: set GST per line to =ROUND(qty*unit*0.1, 2) for GST-inclusive work, and total to subtotal + GST. The trap is what Excel doesn’t do: it won’t stop you issuing two invoices with the same number, and PDFs exported from spreadsheets often crop columns, so always check the print preview before sending.

Google Docs

Same structure as Word. One advantage: a single master doc you copy per invoice keeps your numbering sequential. One warning: sharing the live doc link instead of a PDF lets the amounts change after sending, so always download as PDF before it goes to the customer.

FAQ

Do plants and turf carry GST?

When you supply them as part of your service, yes: GST applies to your charged price. (The nursery charged you GST too; you claim that back on your BAS.)

How do I handle a job that grew mid-way?

Variations get their own lines (or their own invoice) referencing the original quote: 'Additional 12m² turf as agreed 10/08'. Never silently inflate an existing line.

Deposit for materials: how do I invoice it?

Issue a deposit Tax Invoice (e.g. 40% on acceptance). GST applies to the deposit when invoiced under normal accruals rules; your accountant can advise if you're on cash accounting.
